Jacksonville Area Golf Association JAGA EXECUTIVE BOARD MEETING MINUTES OFFICERS PRESENT: Bob Streightiff, Joe Power, Barney Poston, Tom Tierney, Jerry Kay, Arch Copeland & Gary Owensby AGENDA 1. Regular Quarterly Meetings-When? Board agreed to alternate meeting days between Tuesday and Wednesday and alternate site. Board will play golf afterwards. Months to meet will be March, June, Sept., and Dec. Joe Power will schedule the meetings. First one will be at San Jose. 2 Accounting and Financial Services Proposal After meeting with Dan Worrell, CPA/Partner of Ringeisen & Worrell, CPA’s, George Halvorsen found we should have been filing each year for not-for-profit status. Tom Tierney, Bob Streightiff and George Halvorsen will meet with accounting firm to see what is best avenue to follow. Board approved this. 3. Webmaster Position \ Gary Owensby and Barney Poston reported that four students have applied for the position. Interviews have been postponed, first because of finals week and then for the holidays. Students have been told we will set up interviews the second week of January 2011. Arch Copeland suggested perhaps a sub contract to a private source would be better. Board felt there would be other issues to confront, such as social sec. etc. There was a discussion as to whether this would be one of the approved number of scholarships or be an additional scholarship. This was not resolved. Gary Owenby said one of the students is a graduate student, and this brought up discussion that scholarship should be awarded for one year and mutually approved for each year. This would not tie us down in case of a bad selection. The Board felt we would be in better position to make a decision after the interviews. 4. Scholarship Trust Financials Discussed letter to contributors and how it would be important if it is to be used for a tax credit. Tom Tierney said it was a bad year for contributions and offered a balance sheet, showing a loss of $29,268.87 for year. 5. Four Ball Championship a. 11/7/11-San Jose CC b. Todd Bork and Rocky Staples. The site will be at San Jose in 2011 and at Timuquana in 2012. there will be a regular and senior gross. Bork and Staples have agreed to handle this. 6. Four Ball Outing a. March or May b. Gross and Net 7. Match Play Championship Marsh Landing has expressed an interest in hosting this event. A field of 32, coming from the Amateur. Joe Fitzgerald and Matt Cooney have volunteered to run tournament. 8. Junior Championship We need a chairman or chairmen for this event, which will be up to Gary Owensby to find. The event will be at Queen's Harbour. Tournament will be on July 28 & 29, 2011. 9. Pro Pres. & GM/Superintendent There will be a change in the date of Pro Pres. to possibly Nov. 21, so as to not conflict with other tournaments and meetings. There was a discussion of the differences in the two events and it was decided that perhaps the Pro-President should be a club affair with the pro and the other 3 being directors and members. 10. Tournament Schedule Poster We will have to wait until all event dates are set. 11. JAGA History Book - Earl Kelly 225 have been printed and all past presidents have taken part. 12. Position Descriptions Please read yours 14. 2010 Financials Bob said we have a responsibility to our clubs and directors to report either quarterly or semi-annually on the financial position of the club. One way we are looking is to use Quick Books. SIDE BAR There was some discussion that we need to establish a calendar of events from JAGA, MSIS and the Northern Florida Chapter of the PGA and post it on our web site.
